Conversion files are temporary. Accounts, support requests and public community posts serve different purposes and have different retention periods.
1. Identity and contact
Folio Docs (“Folio”) provides this service and handles the information described in this policy. For privacy questions or requests about your rights, contact support@foliodocs.net. If you use Folio to process someone else’s personal data, you must have the authorization or other legal basis required and provide any notice required by law.
2. Information we use
Depending on the feature, Folio receives files and processing choices you submit; account and session identifiers; the identifier assigned by your sign-in provider and, when verified and available, your email address; plan status; support messages; and community posts and replies. We also process technical request and task data, such as status, size, timing and errors, to operate the service and control access. Do not put passwords or payment information in messages or public posts.
3. Purposes and legal grounds
We use files and settings to perform the action you request. Account data lets us identify you and verify access; messages let us respond to you; technical data helps maintain security and prevent abuse. Where applicable, these activities rely on providing the requested service, meeting legal duties and our legitimate interest in protecting the service, balanced against your rights. Optional uses requiring consent need a separate, revocable choice. Opening this policy is not advertising consent.
4. File selection, processing and AI
On the website, a selected file stays on your device until you run a tool. Preview and detection of possible scanned pages may inspect it in your browser. Conversion, OCR, translation and other requested actions require processing its content. AI features may interpret text and images to produce an answer. Folio does not use conversion files to train models or for advertising. Conversion telemetry does not record passwords or document content.
5. Conversion file retention
Files needed for a task remain available while it is active. After completion, the uploaded original and result are available for three minutes. Download or reload does not extend that time. Intermediate files are scheduled for deletion when a task completes, fails or is cancelled. Abandoned uploads are cleaned up after two minutes without progress, without interrupting active transfers. If a file is locked, deletion may need retries, so expiry does not guarantee physical deletion at that exact instant. Copies saved to your device remain under your control. From my iPhone transfers have a separate retention period of up to 60 minutes from upload, shown on screen. Once imported into a tool, that tool’s normal lifecycle applies.
6. Accounts, support and posts
The three-minute file period does not apply to accounts, support or community data. We keep account data during the relationship and afterward as needed for legal duties or claims. We keep support requests as needed to answer them and resolve issues; starting a new conversation does not itself delete service history. Community posts are public and remain visible while the conversation exists or until a valid request, moderation or service closure requires removal. A linked alias is shown instead of automatically publishing your email address.
7. Browser storage
Folio uses browser storage for preferences such as language and temporary task references that can recover a download after reload. These references do not contain the whole file or extend its server availability. The From my iPhone scanner also stores original pages and prepared documents in this browser for recovery; you can delete them in the scanner or by clearing site data. Creating a code does not upload documents: transfer begins when you choose Send to my computer. Accounts use session mechanisms needed to authenticate requests. For the private operations dashboard, a visible page sends periodic signals: for up to three minutes we store a hashed random browser-session identifier and an approximate country, without storing the IP address, page visited or document content. You can clear browser data, which may sign you out or prevent recovery of a download. If we use optional measurement or advertising technologies, we will explain them and provide the required controls before activation.
8. Who may receive information
Infrastructure, document processing, identity and payment providers receive the data needed for the feature you use. Authorized staff may handle your support requests. Community posts are public. We may also disclose information under a valid legal obligation. Processing can involve providers in other countries; ask our privacy contact about recipients and applicable transfer safeguards.
9. Security and precautions
Conversion uses access checks, resource controls and download verification. No system removes every risk of loss or unauthorized access. Protect your device, sign out on shared devices and keep your originals. Do not publish confidential information in the community. If you notice an accidental exposure, contact us without attaching the affected document again.
10. Your rights and requests
Write to support@foliodocs.net to request information, access, correction or deletion of your data, or to exercise objection, restriction or portability rights where applicable law provides them. You may withdraw optional consent without affecting earlier lawful processing. Tell us which account or request is involved; we will request only identity verification needed. Legal duties can prevent immediate deletion, and we will explain this if it applies. You may complain to the competent data protection authority.
11. Minors and updates
Use by minors requires the supervision and authorization applicable law demands. Tell support@foliodocs.net if data was supplied without required authorization. We review this policy when processing changes, communicate material changes appropriately and do not activate new consent-based uses merely by changing this text.
Questions about these terms or your data: support@foliodocs.net.
